Who we are

Delpol Ltd, trading as Oxfordshire Retrofit, is the data controller for personal data collected through this website. Registered office: [REGISTERED_ADDRESS]. You can contact us about anything in this policy through the enquiry form on our contact page.

What we collect, and why

Enquiry and survey-booking forms. When you use our contact or booking forms we collect the details you enter — typically your name, email address, phone number, postcode, property details and your message. This information is transmitted to us as an email and used solely to respond to your enquiry, arrange and carry out your survey, and prepare any written summary or quotation you have asked for. The lawful basis is our legitimate interest in responding to enquiries you initiate, and, where you go on to instruct us, the performance of a contract.

Phone and WhatsApp. If you call or message us, we hold your number and the content of the conversation for the same purposes. WhatsApp messages are processed by WhatsApp (Meta) under its own privacy policy.

Project records. If we carry out work for you, we keep survey notes, photographs of the works (including photographs of concealed stages), correspondence and contract documents for as long as we may need them to honour guarantees and meet legal obligations.

Cookies and analytics

This site is a static website and sets no cookies of its own for browsing. If we use a website analytics service, it may set cookies or collect anonymised usage data (pages visited, device type, approximate location) to help us understand how the site is used; where consent is required for this, we will ask for it via a cookie notice before any such cookies are set. We do not use advertising or cross-site tracking cookies.

Who we share data with

We do not sell or rent your data. We share it only with: our email and form-handling providers (who transmit your enquiry to us); our IT and hosting providers; our managed certified partners where your project includes works they install (limited to what they need to do the job); and professional advisers or authorities where the law requires it.

How long we keep it

Enquiries that do not lead to work are deleted within a reasonable period. Records for delivered projects are kept for the life of the relevant guarantees and any statutory limitation periods, then deleted or anonymised.

Your rights

Under UK GDPR you have the right to access the personal data we hold about you, to have it corrected or erased, to restrict or object to its processing, and to data portability. To exercise any of these rights, contact [EMAIL]. If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office (ico.org.uk).

Changes to this policy

We may update this policy from time to time; the current version will always be on this page with the date above.
